EXECUTIVE ASSISTANT

EXECUTIVE ASSISTANT – Summary: The executive assistant is responsible for providing secretarial assistance to the chief executive officer, executive management staff, and to the Board of Directors performing a variety of complex clerical functions. Serves as the primary point of contact for internal and external constituencies on all executive matters. Must be a self-starter, have superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important, as is a good sense of humor. This person will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. This person is able to work successfully in a team environment and build effective working relationships inside and outside of the District. Responsibilities for this position include the ability to play a leadership role within the administrative team, to think and plan ahead, and manage time effectively. Responsibilities: Schedule and coordinate meetings, interviews, appointments, events, and other activities; Attend, take, transcribe and distribute minutes of meetings as directed, including monthly Board meetings; Type agendas, confidential and routine correspondence and maintain appropriate administrative and necessary financial files; Serve as District Public Records Officer, ensure District compliance with Public Governance regulations and the Open Public Meetings Act; Coordinate trainings, webinars, seminars and conferences for District personnel and Board members, Marketing/Advertising, and maintaining District social media. Requirement: High school diploma or equivalent. Further business education preferred. Minimum five years of office experience, prefer one or more years in a health care organization.
